This policy describes what information Inventory Now ("we," "us") collects, how we use it, and the choices you have. It applies to our iOS and Android applications, our web application, and our website (together, the "Service").

The short version: we collect the minimum we need to run an inventory management service. We do not sell your data, we do not use it for advertising, and when you connect an online store, we deliberately avoid receiving your customers' personal information.

1. Information we collect

Account information. When you create an account, we collect your email address and, optionally, your name. We use these to create and secure your account, to help you recover access, and to send you service-related messages.

Inventory and business data. The Service exists to store the inventory information you enter: items, quantities, costs, prices, locations, vendors, orders, and related records. This data belongs to you. We process it only to provide the Service to you.

Connected sales channels. If you choose to connect a third-party commerce or accounting platform to your account, we receive data from that platform in order to keep your inventory synchronized. This is limited to product and order information: product titles, SKUs, variant identifiers, quantities, prices, order numbers, order timestamps, order financial and fulfillment status, and fulfillment locations.

We do not request, receive, or store your customers' names, email addresses, phone numbers, or shipping addresses from any connected platform. Order records from connected platforms are stored without buyer-identifying information.

Payment information. Subscriptions are billed through third-party payment processors (such as the Apple App Store, Google Play, or our web payment processor). We receive confirmation of your subscription status and plan. We do not receive or store your full payment card number.

Technical information. Like most online services, we automatically receive certain technical data when you use the Service: IP address, device and browser type, operating system version, and logs of requests to our servers. We use this for security, debugging, and keeping the Service running. Server logs are retained for a limited period and are not used to build profiles of you.

Support communications. If you contact support, we keep the correspondence so we can help you and improve the Service.

2. How we use information

We use the information above to:

  • Provide, maintain, and improve the Service

  • Synchronize inventory data between your account and platforms you have connected

  • Process subscriptions and manage your account

  • Respond to support requests

  • Secure the Service, prevent abuse, and debug problems

  • Send service-related notices (such as sync errors, low-stock alerts you have enabled, or changes to this policy)

We limit our use of personal data to these purposes. We do not use your data, or your customers' data, for advertising, marketing profiles, or automated decisions that produce legal or similarly significant effects about any person.

3. What we do not do

  • We do not sell, rent, or trade personal information.

  • We do not share personal information with third parties for their marketing or advertising.

4. Service providers

We use a small number of service providers to operate the Service, acting on our instructions under contractual confidentiality and data-protection obligations:

  • Cloud hosting and database services (Heroku and AWS, United States) — application hosting and data storage

  • Payment processors (Apple, Google, Stripe) — subscription billing

  • Email delivery (Gmail, Mailgun) — account and service emails

  • Error monitoring (Heroku, Papertrail) — application stability

These providers may store data in the United States. We may also disclose information if required by law, or to protect the rights, property, or safety of our users, the public, or ourselves.

If our business is acquired or merged, information may transfer to the successor, which will remain bound by this policy or one materially like it, and we will notify you of any change in ownership.

5. Data retention

  • Account and inventory data is retained while your account is active.

  • Connected-platform data is retained while the connection is active. When you disconnect a platform, or uninstall our application from a connected store, we delete the data received from that platform within 30 days of receiving the platform's disconnection or deletion notice.

  • Account deletion. You may delete your account at any time by [method — e.g., contacting support or using the in-app option]. We delete your personal data within 30 days, except where a longer period is required by law (for example, financial records we are obliged to keep).

  • Server logs are retained for no more than [90] days.

6. Security

We protect your information with measures including:

  • Encryption in transit (TLS) for all connections to the Service

  • Encryption at rest for our databases

  • Encrypted storage of third-party platform access credentials

  • Access controls limiting who can reach production systems

No method of transmission or storage is completely secure, but we work to protect your data using industry-standard practices. If we become aware of a breach affecting your personal data, we will notify you and the relevant authorities as required by law.

7. Your rights

Depending on where you live, you may have rights under privacy laws such as the EU/UK General Data Protection Regulation (GDPR) or the California Consumer Privacy Act (CCPA), including the right to:

  • Access the personal data we hold about you

  • Correct inaccurate personal data

  • Delete your personal data

  • Receive a copy of your data in a portable format

  • Object to or restrict certain processing

To exercise any of these rights, contact us at the address below. We will respond within the time required by applicable law. We do not discriminate against you for exercising your rights. Because we do not sell personal information, there is no need to opt out of sale.

If you are in the EU or UK, you also have the right to lodge a complaint with your data protection authority.

8. Roles: your business data and your customers

For the account information you give us, we act as the data controller.

For the inventory and order data you store in the Service — including order records received from connected platforms — you are the controller of that data and we process it on your behalf, on your instructions, to provide the Service. If a customer of yours asks you to delete their information, and any of it resides in the Service, deleting the relevant records in your account (or contacting support) fulfills that request on our side. Connected platforms also send us automated deletion requests on your behalf, which we honor as described in Section 5.

9. Cookies

Our web application uses cookies that are strictly necessary for the Service to function — primarily a session cookie that keeps you signed in. We do not use cookies for advertising or cross-site tracking. Our marketing website may use basic analytics cookies provided by our website platform; you can control cookies through your browser settings.

10. Children

The Service is intended for business use by people at least 13 years of age. We do not knowingly collect personal information from children under 13. If you believe a child has provided us personal information, contact us and we will delete it.

11. International transfers

We are based in the United States and process data there. If you use the Service from outside the United States, your information will be transferred to and processed in the United States. Where required, we rely on appropriate safeguards for such transfers.

12. Changes to this policy

We may update this policy from time to time. If we make material changes, we will post the updated policy here and update the date above; for significant changes we will notify you by email or in the Service. Your continued use of the Service after changes take effect constitutes acceptance of the updated policy.
